Driving Shifts, Permanent Positions, and Extra Hands are Needed

PCS Gleaners, 

Were asking for help filling a permanent position:

-**Filled by Heather B.**Filling Adoptee boxes, Fridays 12-1 PM. We're looking for someone to fill this position weekly because it is very important this gets done every Friday. There can be some flexibility in that time. We want to extend this position to any adoptee that would want to help homebound adoptees. Simplified Instructions: Fill around 20 banana boxes with non-perishibles.

Were looking for temporary coverage for two driving shifts: 

 - **Filled by Chris B.**Temporary coverage for Driver For Walmart, Trader Joes, Safeway and Natural Grocers and intermittant LBFS Warehouse Friday 7:30 -11:30 from June 6th to June 28th. Jaime and Larry, the permanent drivers will be back after Larry recovers from hip surgery tentatively June 28th. LBFS pickups have been intermittent (they haven't occurred in the last two weeks) but can take until 2 PM. We can also look for another driver for the LBFS portion if there is a schedule conflict.

- Friday Insomnia pickups need covered these dates: June 9th , July 14 , July 21, August 4 and August 11. Instructons: Go to Insomnia Cookies on Monroe Ave in Corvallis between 12 and 1PM (Friday). Bring two black crates. The manager brings 2 containers of cookies that you'll take out to your personal vehicle to transfer them to black crates and then give their containers back.  Bring the cookies into PCS and put them inside the walk-in freezer on the left side in the front racks nearest the door. No paperwork needed.

Were needing extra hands in a couple weeks: 

- OSU Move Out Donations sometime between June 13th – June 17th . We're asking to wrangle a group of people (3-5) who can lift 40+lbs.  OSU will be in communication with Jodie S. and they will let us know when and where help will be needed. Let Anna know if you are available during this time to help.

Message from Jules, Program Coordinator

Hey y’all,

My left leg barely works. I retore the meniscus. I need help this afternoon and tomorrow desperately.  

Here’s the future:

If people don’t start filling the on site help slots, we’re going to reduce the distributions to bread, veggies, and deli stuff only.  

This can’t go on, we can’t stock snacks, canned goods, meats etc. Legitimate adoptees will always be cared for.  

But, There are plenty of people including some able bodied adoptees (those of you already stepping up, thank you so much. You’re amazing), that can accomplish light tasks, sit at a desk, make phone calls.  If you can take a few cans off a shelf, you can put a few cans on a shelf!

There are way too many folk taking advantage of the system. I guarantee that things are going to change if people don’t sign up.  

Those of you not helping or barely helping will be responsible to everyone for the changes and the changes won’t be pleasant.  There is no excuse for expecting the few to do the jobs that require many.  Those of us doing your share have had enough.  You know who you are and guess what, So do we!  We’re studying the members list and their volunteer contributions. Abusing the core group of reliable hard working folks will not stand! The dead limbs need to and will come off the tree.  Count on it! Sign up to be a part of one of the teams on the wheel,

They all require phone help, paperwork help, computer help, planning and organization help. Not everyone has to lift 40 # boxes.  I guarantee that if people join those teams, we can reduce the monthly hourly requirement for everyone.

Message From Program Coordinator, Jules

Hi y’all,

This next week is going to be crazy.  

1. We need a back up driver for this Monday (5/26 Winco + Safeway in the van at PCS at 9 AM).

2. We need a back up driver for next Friday (5/30 Walmart, Trader Joe's + Safeway 53rd in the van at PCS at 7:15 AM).

3. We need a back up driver for next Friday (5/30 Market of Choice in the van at PCS 1 PM)

4. Also, this Monday we are need of a closer to cover Sandra G. (2-5PM)

(Please contact Jules if you can cover any of these super important shifts.)


That’s not to mention all the other spots that are constantly empty.  

Also this Thursday I am picking up a load from Salem with stuff we normally don’t get.  I will need help in the afternoon unloading the van.  There will be some heavy items and I still can’t lift much.  The doc says my neck has not yet fused!  

Please be aware that regardless of your hours I will be alone a lot over the next two weeks. Jen will be gone also. I’m banking on everyone to step up. Esp if you got an email re your hours.  If we can’t pick up food and put food away we can’t distribute food. Everyone can help somehow. Please.

Message from Jules, Program Coordinator

A message from our Program Coordinator, Jules Fredrikson:

Susan James (LBFS Coordinator) called to clarify that neither she or LBFS has the control over how many or which days we have distributions.  That is solely up to Philomath Gleaner’s participants.  So, at this juncture nothing is changing.

However,  if we don’t get adequate help and people don’t sign up to help with pick ups, distribution, washing dishes, opening and closing,  etc., I don’t see how we can continue. Just a side note, LBFS will never force us to go to a single distribution day.  That is solely up to Gleaner’s.  But all things being equal, if members don’t start signing up to work, (Gleaner’s is a community of helpers to obtain the food we receive) we, the leadership team and advisory team will probably cut it down to a single distribution day.  We have a core group of volunteers that work faithfully, and reliably but there are not enough other people filling the sign up necessary work slots.  We cannot in any way shape or form function as it is right now.  If we back down to one day a week, the folks that are abusing the system  need to realize it is not the core, hard working folks to blame.  Unfortunately every member suffers the consequences for the negligence of other members.  Change isn’t always easy but If every household pulls their weight and if people sign up for the divisions on the wheel, (the drawing on the door of the freezer) we can reduce the hours required.  If you don’t want to help make Gleaner’s successful and a group we’re proud of, perhaps the Food Pantry would be for you, a better fit. 

Neither Jennie or I will kill ourselves for y’all.  That’s not our job.  If you think we signed up to do all the work, you’re mistaken.  We’re analyzing every Gleaner household’s contribution.  This can be a fun place to get groceries and see friends.  We can be an awesome group.  But if members continue to ignore their contribution hours, they will be the ones forcing negative changes like going to one day a week.

Meeting Minutes from May 4th, 2025

Sharon Thornberry (PCS Executive Director) 

  • introduced herself, her qualifications, past work history, history of PCS program. 
  • Sharon makes sure the five programs at PCS run smoothly.
  •  Gleaners is one of five programs at PCS.
  •  PCS is a 501 C3 Non-profit organization. PCS Gleaners is not its own 501 C3. PCS Gleaners are the only gleaning group in this area that doesn't run their own 501 C3. 
  • Explantation of origin of the program - Wood program 
  • Discusses policies & procedures
    • Policies and procedures need to be approved by the board. The last policies and procedures that was put together one year ago were not approved. Need to deal with new process for approvals.
  • Applications 
  • Explanation of the self sufficiency program that Gleaners is, member participation is not a requirement ( e.g. Adoptees)
  • Rules are enforced by two partner agencies and their agreements with PCS
    • Linn-Benton Food Share 
    • Fresh Alliance (grocery store establishments and Target)
  • Drivers are technically double insured- Fresh Alliance has a drivers policy and also driving on behalf of PCS driver policy as long as the driver has insurance a Drivers License on file.  
  • PCS Driver Policy Explanation **Requirements for drivers.**
  • Drivers must participate in getting ServeSafe and Food Handlers certifications with the newly changed rules. 
  • New food safety policies- meat packaging broken = trash, dented cans cannot be circulated.
  • Rules from partner agencies must be followed or we could lose the PCS Gleaners program. 
  • Sharon asked for all members to come ask questions- Come to office in SE corner of the building inside Junes Kids Closet or email her directly at director@philomathcommunityservices.org
  • Jules mentioned if issues arise that there is no recourse of contacting Sharon. 
  • Elections- Board has approved Jules to Program Coordinator and Jennie Mikkelsen to Co-Coordinator. Rules currently do not show information for interim elections. As a group, gleaners must re-write policy & procedures and vote on them to keep it fair. Online elections have been harder as it hasn't been accessible to everyone/ harder to not be exclusive. Jan/ Feb may be more appropriate for an election. 
  • Treasurer solely for the Gleaners cannot exist-  all funds and fund info go through the PCS Treasurer- Board appointed.
    • Gleaners cost over $11,000 in 2024
    • allocation of Gleaners fund information needs to be redirected to the PCS OneDrive. (Ann Morgan voiced concerns of program needing audit)
    • No authority to a Gleaners appointed treasure anymore
  • Sharon explains there was money found in the desk from 2023. Need to assure information is secure. Addressed how long info is kept. This is a liability of information. The less private information we keep the better for the safety of our members. 
  • Because our Gleaners program is part of PCS, we have privileges such as the van and building (walk ins, bathrooms, office space, electricity, water etc.)
  • Explained need for a Co-Coordinator
Karen Canan aka Morgan (Gleaners Member)
  • Spoke about her appreciations for what the building offers 
  • Shared her hopes that people do not talk ill of the program or past leaderships. 
Jules Fredrikson and Jennie Mikkelsen 
  • Presented their ideas for structuring the program for the future because the needs are not being met with the 8 hours per Gleaner member requirement.
  • Breaking the load down into teams so we can analyze the program more efficiently. 
  • "Wheel of Change" - a non-hierarchal division of work.
    • Teams include: Admin, Inventory, Sign-Ups, Training, Adoptees, Fundraising, Site Conditions, Dispute Resolution
  • Discussed the opportunity for Adoptees to come and help with the volunteer load.
  • Looking to put together a list of members who live close and that could come in a pinch. 
  • Communication is a struggle and we're actively looking for ideas to get the group more communicative. 
  • Jennie will be out of town for three weeks. Needing to fill her position during that time. 
Susan James (LBFS)
  • Our Gleaning group was asked by LBFS to shop only one day per week.
    • Our gleaning group is the only group in this region with two shopping days. 
    • This would help to maximize the amount we can distribute with deliveries allowed. This would allow our pickups to be more efficient.
    • Susan James is trying to make it a fair system. 
    • Many concerns were addressed about what day would we move to and there were no answers.

 Saturday shoppers -

 If you were signed up to shop Saturday and are able to shop today instead, you are welcome to do so. If you were unable to sign up for a time slot please show up sometime within your last name time slot

 Please show up throughout that time and not just at the beginning.  If you cannot show up during your last name time slot you may come later. When you show up come to the check in and let us know you are there and that you are from the Saturday list.

 You will need to wait, but that way we will be able to get you in as close to the order you come as possible, while fitting in with those already signed up. 

We will be having our MONDAY shoppers shop as close as possible to their original time slot and will fit you in as we can.


Monday shoppers: 

As I said, we will fit you in as close to your original time as possible, but we will have a LOT of shoppers today so please be patient with us!   We need patience and kindness from everyone today. Also, we have limited carts so please be mindful and try to shop and unload as quickly as possible. We will stay open later to get everyone to shop if needed but you MUST arrive before 4:00 to be able to shop. 

Clean up helpers are much needed! Please stay (or come back) to help clean up if at all possible.

Urgent: Monday Shifts Need Covered

Michelle still needs some shifts covered tomorrow. All shifts are vital to appropriately run distribution and it is vital that we have them filled.

Please keep your personal calendar open for shopping and do not plan events around shopping time if you plan to shop and ask for us to re-schedule you. There are 2 opportunities (days) for you to shop. There are times for many reason we may ask to move you. Please be mindful we are coordinating over 150 families and just over 450 individuals. 

There are also slots for our volunteers to shop mid shopping to make the day smoother and allow for our volunteers to shop the same day. Some of the names will NOT be in the correct space because they are volunteering and pre-scheduled weekly for the slot. If you have suggestions to make this program better, we welcome them. 

Please be mindful that you click the proper day below-I made the title link easier (Click the day of the week to get to the sign up).  Please be mindful of signing up that you will actually shop. If you shop on Saturday and skip, do not call with notice, etc you will not be allowed to shop on Monday. 

Lastly, Please remember that there it is imperative to keep the shopping schedule accurate, we need shoppers to get through the shopping line without having side conversations. This is to keep the check-ins on-time and the carts in constant rotation.
