June Meeting Minutes - PLEASE READ!

 Philomath Community Gleaners Monthly Meeting Minutes 

June 15, 2021 @ 6:30pm via ZOOM & In person

Trish moved approved the report, patty N 2nd. All were in favor.  

 

Grants:  

Siletz remaining 1839.01

$600 remaining in Gift Cards that were donated few months ago (we have been purchasing all the ziplocks bags, trash bags, etc)Like trash bags, Alicia asked if folks were okay with what they were getting. Some didn’t like the saran wrap but were happy with the rest. Alicia will keep doing what we are doing with the remaining $600. 

We will be doing another Siletz Grant. Ann will review this for us and work with Patty/Alicia on submitting.

360 Shops for the Month, average pounds per family was 89# each trip. That is an average value of $148.81 per shopping trip 

 

Old Business- 

  • Nutcracker purchase – Finally this is ordered! All were excited. Ann asked if she can bring nuts from home. Patty was ok with it. 

  • Mask/Covid Policy – Patty. According to the latest data, we are 70K short of opening up fully today. Coordinator meeting, we discussed OFB will follow what state says (CDC guidelines). Because we are under the umbrella of PCS, we are to follow the PCS policy. Kate and Patty, and Alicia had a meeting last week and PCS will be following the CDC guidelines. Masks are optional for those who have been fully vaccinated or those whom have not. Everyone should feel safe. If you would like to wear a mask, that is all ok. One thing PCS did for Covid was to put in air filters in our whole system. The doors are open throughout the day. We will still wash hands. Please do not fondle the food.  We would like to listen to what people want to say. We are required to follow what PCS says regarding this issue. If many have issues, Patty is willing to take to the PCS board. It is expected that by June 21st, the state will open up. This is a PCS decision. Michele H asked if we will continue for signups, etc and shopping with the online sign upsThe shopping has been so organized. Most all feedback has been that members like the shopping and signing up online so you know when to arrive and don’t have to wait to shop. If you have concerns, please connect with Patty. Alicia asked about how many in the building close to one another, and social distancing inside while shopping. Some of our folks can shop quickly and some not so quickly. Everyone should feel safe. If you need more space, feel free to kindly request more space.  

  • Shopping week (Alicia). Alicia mentioned that last fall we had discussed making our week run Saturday to Monday. This was discussed and we have been using they system since then, but it came to our attention that this was never voted on. Robert asked if the ultimate goal that we want to have people shop 1 time per week. He will be out of town. So he shopped a Saturday and then following Monday. The move to Saturday/Monday we can push product through. Patty said - This works so well with Mondays and with the food bank and moving the food through. Michele Moved to Adopt the Saturday / Monday shopping. SO if you shop on a Saturday you cannot shop the following Monday. Trish 2nd1 opposed, rest approved. Motion passed.  

  • Crazy Dayz – We made 56.25 on June 5, 2021.  

 

 

 New Business 

  • Open Questions and Answers  -- What's going well, what’s not? Trish thinks things are working smoothly. Robert wants to know required hours for the month. You can always contact Patty, Alicia, or Jessica if you need to discuss anything.  

  • We received a $1000.00 donation and the donor would like the members to choose how we spend it. Trish's neighbor. Food desert. She would like to support our program. - Michele suggestions for online poll that Alicia posted this on June 16th.  

  • Cans for Cash! Remember we do take our cans in and recycle for cash. June we brought in 58.10 already. Please bring your cans back that you take to drink. Lee and Trish have been taking in the cans. Trish felt they were getting shorted. Alicia made sure they were putting their hours in.  

  • We need alternative pickup folks-Backup for stores, do a learning glean, then be the backup. Sign up list pick up folks – post to the blog.  

  • Gleaning coordinator needed for the summer till at least September. Patty says that LBFS says that we will be gleaning again this year. Fela is the suggested person to do this. We are supposed to glean. Disappointing when we have one of the largest groups and only 2 people sign up for the glean. You pick and you donate ½ for the adoptees. In the past, we have stored the gleaning amounts, you must take home what you glean. We have no idea when we will use the cooler outside that was built for us. It leaks every time it rains. We have had folks store gleaning foods at the site. Looking for someone is who is reliable, is willing to do field training. Paid for gas mileage for every time they go to a glean. We need someone we can count on to do this. Fela is willing to do it! We are giving ½ to the adoptees. Alicia moved that we will offer up the adoptee gleaned foods to the adoptees for 2 shops (1 week), then it will go into the general gleaning consumption. Michele 2ndMotion passed. 

  • Woodlot cleanup- Jess says we have the responsibility to clean up the woodlot. Open house 30th anniversary of PCS. Celebration will be September 12th Noon – 3pm. PCS require that we clean up the woodlot, stacking the wood, getting rid of the wood, plus removing the wood from the shed that PCS took down. 2 volunteers weeded the whole wood lot. Patty will go out with Timmy and see what needs to be done. Going to need people to get this lot cleaned up. Patty would like to make sure we have enough wood to take care of our adoptees that need wood. Short time is we need to cleanup the woodlot. PCS is willing to get a dumpster but the charge would come out of our funds. We will pick a day for helpers. This will be counted as your volunteer hours. Karen R asked do we still have connections with Service days with groups. Linda Odell will come! Updates on the blog. 

  • Meetings monthly or every other month option. Patty would like to bring this back up. Trish does not like the meetings. We can always updated folks on the blog. Trish moved that we do meetings bi-monthly. Sid seconded the motion. It would go in effect now. 1 abstained. Motion passed. 

  • Open house – Fall 2021-Deiscussed earlier. 

  • Walmart Grant – Alicia/Kate (requesting $500 for Food) - Working on writing it 

  • Reser Grant – Due 8/1 and Alicia and Elaine are working on it. 

  • Cans – Recyling, Grant – Ann Morgan. If you go there, we could be put on the non profit list for donations of cans. Lee, when Jean came on, she pulled in the recycle program. Habitat has a trash can. We don’t want the cans inside the building. We have to do so much moving of stuff in and out! Locked receptable. Jessica, what about the boy Scouts – donate your cans to the scouts. Water treatment plan construction starts in August. We have to be careful of our space and items being stuck somewhere. Lee says we can do pickups more often. 2008 or 2007 went and did pickups of cans. Blue bags were suggested by a member but cost money. In the end, we will have Lee purchase the trash can and use for now for the cans and recycle them more often. Lee will buy the trash bin.  

  • Bread racks – we need to get rid of them. Bread trays. Donate on Craigslist. Facebook. Free. Alicia will do it.  

 

 

REMINDERS: 

  • Mandatory 4 hour (NEW) volunteer commitment per month.  Cleanup help always needed. We will also be adding a dishwasher cleanup person to the sign ups for Saturday and Mondays. Alicia is adding a signup for 9-12 dishwasher person. We need people to sign up to wash dishes 9-12. That person can shop as soon as dishes are done and go home.

For future follow-up – No new news to report. 

  • Cooler Update – PCS is still working on it.  

  • Tents Update – PCS is still working on it – although we have 1 on hand. We need to get the cooler covered before we can put up the tents.
