Please remember that FEBRUARY we upped the hours to 6 hours per family. We do allow for all families to volunteer more than the 6 hours.  

Please sign up by 9pm on Wednesday. If you make changes after 9pm on Wednesday, you MUST text Patty and let her know. Failure to show up to a volunteer shift without notice will result in a warning (per policy). 

We don't have a forklift this week.

Policy and Proceedures Update 1/30/23

Policy Updates : 

Please make sure you read this and are aware of the changes. 

 1.4.4  Returning Member 90-day Probationary Period 

All returning members must complete a new application and must have a meeting with at least two members of the elected board. The returning member will be placed on a strict 90-day probationary period. If the member commits any offense that is spelled out in the Policy and Procedure manual, the member will be automatically terminated from Philomath Community Gleaners. 

 

We have updated the document also that the Qualifications of being a member in good standing is now referred to as Policy A.


Policy A: General Membership Rules. The following change in wording was updated:

 Volunteers must have prior approval with a member of the elected board for any outside hours, otherwise these hours will not count. All volunteers must sign up to volunteer unless they have prior approval by a member of the elected board. Hours will not count without approval. There are no drop-in hours available.

bring in the cash that you would have gotten if you took them in. 

A case has 8 cans in it so that is .80 per case

2 cases - 1.60

3 cases - 2.40

4 cases - 3.20

5 cases - 4.00

6 cases 4.80

and so on....cash can go into the frog at the checkout desk. We can also use paypal if anyone would like to do that. I just need to know to send you the link.

Spotlight on A Policy : Target

 Spotlight on A Policy 

 

Each month we will spotlight a different policy in order to make it easier for our members to stay up to date on the inner workings of our group. We will offer a brief summary of the policy and an explanation of why the policy is important. 


The first policy is: 1.5.2. Theft of PCG/PCS property or selling items or giving away any items to a non gleaning member of will result in permanent expulsion from PCG/PCS and permanent barring from the premises will be enacted in addition to the possibility of legal action. Skimming** (setting aside product before shopping) is considered theft. 


This is one of the most important policies that our group has created, due in part to the large donations that we receive. One of our major donors contributes to 64 agencies in the Linn-Benton Food Share network, and the relationship has been cultivated for the past 19 years. If this donor became privy to information that the donated product had been sold our given away out of network, this could damage the longstanding relationship with them. There are 14 gleaning groups who have a group of dedicated volunteers who watch social media on a regular basis looking for donated products that are being given away or sold. If a member is caught selling or giving away an item, that member will be terminated. Please just bring back unused items to the group.

Policy 12.1 Chain of Command

 Policy 12.1 Chain of Command 

All Complaints, Concerns, and Suggestions will be written out on the proper form and submitted to a member of the elected board. The Chain of Command for this procedure will be enforced.


The Chain of Command will be as follows: Written form, The Elected Board (Program Manager, Co-Program Manager, Secretary, Treasurer), Other governing entity (Linn-Benton Food Share, Philomath Community Services, Oregon Foodbank). 


Failure to follow the chain of command could result in a warning.

Parking / Construction / Shopping / Volunteers

If you have not noticed by now, you will when you drive in. There is a lot of construction happening around Philomath Community Services. We need for folks to consider parking 

1. Those with mobility issues should park up close. Those with disabled stickers are allowed to park in the designated parking area. 

2. ON SHOPPING DAYS: If you are not currently shopping and you are volunteering, please DO NOT park in the front parking spots. Volunteers need to park to the back of the property towards the river. Spots next to the building are reserved for those shopping. The shopping carts are not happy on gravel so if we can keep non shoppers parked off the concrete and shoppers close to the building, life will be better for everyone. 

3. There are a few (maybe 3) spots available on the left side of this photo. This might be better on Saturday. Those spots are available to park. We won't be getting the parking spots on the RIGHT side back. Eventually there will be a new building of some sort so this will for sure be a one way road.

If you do not contact Patty on a Saturday and skip shopping without connecting, you may NOT sign up to shop on Monday. 

Everyone of the members making shopping possible is a volunteering taking time from their lives, please be mindful of others time. By skipping your time slot, it makes for a longer time for our volunteers.

Building clean up - Jan 29th

Good afternoon!

Our amazing Office Manager has put together a work day for the entire building to get us in tip top shape! Please consider coming down to help out on January 29th. This WILL count towards gleaner hours if you come to help out! You will need to write the hours down on the volunteer sheet just like all the rest of your hours. 

The new year is officially in motion and I would like to start our 2023 with a MASS building Cleanup. I am looking for volunteers to assist! We will be cleaning the building top to bottom.... floors, walls, windows, storage areas.. ALL of it. I thought this would be a great way to bring our programs, Board Members, Committee Members and volunteers together for a great purpose! Below is the signup Genius Link.

1. There will be construction going on on 9th street and we are promised that we will have a way to get through. We don't know exactly what to expect but there are big rigs in our parking lot as of today. 

2. We still need at least 1 more volunteer to go to the farm tomorrow. We also have a floater position open.
