Thursday help for Target needed

 Hello all,


We need 2 people to help on Thursday. 


1. someone to ride with Timmy all day 7:30 - 2:30? or when done for the Target pickup. After you do the target run, Timmy and helper will drive the truck and a vehicle to return the rental to OSU Campus. Then, Timmy can give a ride home to his helper or can come back to PCS for their vehicle. 

2. Someone to give Timmy and the helper a ride from PCS to the Motor Pool on the OSU Campus at 7:35 am. This is a quick helper person - will take about an hour.

Dishwasher needed Wednesday

 We still have dishes to wash and need someone tomorrow (Wednesday) 10-12 to come help do the dishes. First one to sign up gets the spot!

Friendly reminder: Kindness Matters

Just sending out a reminder about being kind to one another at all times. 

While shopping, if someone is taking a little longer to shop, please kindly ask them if you can go around. We can get backed up and it can get busy, please be patient with others, use kind words, and be of good spirit. 

We do try to get through in 6 minutes but it realistically is someone  new starts every 6 minutes. So even if that is 3 people shopping, that is 18 minutes. Let's not be a turtle or a road runner. The steady ones win the race.

If you are in a hurry, please ask if you can go around but also try to schedule your time to allow ample time to shop.

Volunteer Opportunities Week 10/25/23 - 10/31/23

Membership household can only sign up for 2 desk volunteer (Check in/out) slots per month.

Remember, you can get 2 alternative hours per month (Child care for another gleaner so they can 
volunteer, bring in bottles to return for deposit 1/2 hour for each kitchen size bag, or volunteer in the garden. 

NEW MEMBERS: There is a sign  in and sign out sheet at the desk where we check out. You are responsible for writing down your 
hours on the sheet so that we can enter them in our data system. Please note that we don't keep track and we can't tell you how many
hours you have mid month. The best advice I have it to send yourself a text or email to track your own hours. And, make sure to 
write it down on the volunteer sheet. 

Garden is closed so you will see those hours have been taken off the volunteer sheet.

We will not tell you if you won or not as that is a lot of emails, etc. If you are not in town or do not plan to be shopping, then do NOT sign up. Any items not picked up by Monday shopping will be put back into the drawing for the next drawing. We do not save items unless we forget your items or we miss it on our end.

Theft Policy, request to members, lead crew link, etc. (Members please read this)

Please please please DO NOT take anything from the site without approval from Patty, Alicia, or a Lead Crew member. Even at that, you may want to get approval from Patty. The ONLY people who are allowed to authorize transactions, purchases, day to day operations of the gleaners are the board members. Our key lead crew members when we are not on site get guidance from the board and ask if they are in doubt. 

I (Alicia) call Patty when I am in doubt if we should get rid of something. We voted Patty is as our Coordinator and she deserves the respect as she is responsible for the program, the building connections, connecting with partner agencies, working with PCS as well as Linn Benton Food Share. This is a job she loves and is not an easy job helping to feed almost 520 individuals. Issues like what happened with the wheelchair make a lot of stress on Patty, the Board, and the many many volunteers who searched for the missing wheelchair on Monday.

As it has been previously posted, the getting rid of product that is not part of the members weekly shopping experience.  Your membership could be at risk if you take it upon yourself to take items. In addition, as a reminder, pay attention to the RACK and the limits. If it says 1 item and you take 2, that is theft. We have caught folks taking more and that is an automatic termination of membership from the program. 

Policy 1.5.2 Theft of PCG/PCS property or selling items or giving away any items to a non-gleaning member of will result in permanent expulsion from PCG/PCS and permanent barring from the premises will be enacted in addition to the possibility of legal action. Skimming** (setting aside product before shopping) is considered theft. For example, any items posted on Facebook or any social media for giveaway or selling will be immediate expulsion. You are welcome to bring back any unused items (or portion of items) received from the program.

Update: FOUND!!!! The Case of the MISSING wheelchair

Update: The wheelchair has been found. 

We are missing a wheelchair at the site. We had a wheelchair on loan from LBFS and it was at the site last week but today when we needed it for a member to come and shop - it is gone! It was last seen by many of us in the back area behind the locked gate just last week.

Free Fridge - great for your garages!

 Hey, we have this fridge outside. It still works but we decided it wasn't great for our program. The door on the freezer we had to fix and it can't keep up with us opening and closing the door all day. I think would be fine for your outside or garage.

To Craft fair or to not craft fair.....

We had a meeting last night and we are not sure what the whole membership would like to do, so it is going out here to vote on. Please take a minute to vote. This is a membership program and your opinion is valued! 


November 4th and 5th (in 2 ish weeks)
The 1st is the very large Philomath Frolic Craft Fair at the Philomath Elementary School. This fair is well attended but also has higher end crafts and many many vendors to compete with. Saturday (9-5) and Sunday (10-3). The cost we believe is $50 for both days and a table in the hallway - possibly that is bring your own table cost as well. 

December 7, 8, and 9
The 2nd craft fair we have been invited to is a smaller venue at a house hosted by Learning2live here in Philomath. The cost for the smaller venue is $10 per day. Pros and cons: We could have a table located outside on the patio. We could have a table indoors. We are not sure what kind of traffic this craft fair brings in. Pros: We could possibly sign up for each day and don't have to commit to all 3 days as well as the cost is only $10 per day.

We are taking nominations this year via Google Forms. If you would rather call or text your nomination in, feel free to text Patty or Alicia. 

Nominations - we are required to have nominations open for 1 month per LBFS rules. We will close the nominations at Noon on November 18th.

The positions of Coordinator, Co-Coordinator, Secretary, & Treasurer are open. 

You must be a member in good standing in order to vote. Only 1 vote per household.

Siletz Grant 23-04 ($3000). 10/14/2023 ($980.66 avail)  

OSU Thrift Shop Grant 23-14– Patty requested $1,000 for food. We got this grant and funds avail now. 

Roundhouse Grant 23-13 (Starts 11/1/23 - 10/31/2024) $2500 for food and hygiene 

Oddfellows Grant - $800 for _______ - Just received this on Oct 14th so not in the budget above.

Old Business 

  • Clean up shift requirements?  

  • Christmas and New years both fall on a Monday – What do we want to do for a plan? 

  • Do we close and not hold a distribution for the Monday folks at all We won’t get any fresh produce that day or store pickups on Monday.  

  • Do we stay open longer on Saturday to allow for Monday shoppers to come?   

  • We acquired a store every other Thursday. Safeway 3rd street (Downtown Corvallis). We could use a volunteer to do this pickup using the PCS Van Most of the time. When the pickup falls on the 3rd Thursday we will have to borrow someone's vehicle to do the pickup as we use the PCS Van for KFC.  

  • Wednesdays (Alternating but has been weekly) - Micro Greens pickup person 

  • Substitute driver for Wednesdays – We have a sub now, if anyone else would like to be part of the pickup crew or backup, please contact Patty  

  • Winco Mondays – we need someone to do the pickup from November 20th to December 20th ishThis could be a person who comes in at 9 and then is part of the morning Monday crew and shops with the morning volunteers.  

New Business 

  • Bottle return cans – you MUST put your name on the bag you bring back. We have been getting non bottle deposit items and trash. If you give us trash 2 times you will then loose your option of bringing in cans to the program.  

  • Please stop putting commodity boxes in the cooler. There is nothing that needs to be refrigerated in the boxes so they can stay out.  

  • Greens (Micro) need to be tossed on Mondays after distribution. They won’t make it till Saturday.  

  • Handles toward the door in the freezer and fridge, too hard to get out and not put in the way?  

  • If you shop and work, remember to get your stuff out of the cooler before you leave. We had cross contamination of meat in the walk in cooler.  

  • Craft Sale – vote to do it. 

  • Also discuss craft sale volunteer hours and max hours for crafts. We will also need people to sit at the table for the 3 day event here in Philomath. $10 per day to have a table. Do we want all 3 days?  

  • Points for Profit fundraiser – vote to do it. And, is anyone interested in a once a month meeting in Albany for volunteer hours, as well as managing the data entry into the P4P system? I would like to see this be 1 person to start with who can manage the fundraiser. I know it would be at least 2 hours per month just for the meeting with driving and the meeting. Then there will be data entry.  

  • Nominations are now open for Coordinator, Co-Coordinator, Secretary, and Treasurer. We will post this online shortly. No campaigning allowed per LBFS rules. We will open the nominations by 10/18/2023. We are required to have them open for 30 days.  

  • Nominations will close on November 18th. 

  • We will take a few days to find out if those nominated are willing to do the jobs. As soon as that is up, we will vote.  

  • We need to decide tonight if we vote like we have during covid (online with the form), or if we want to hold a special meeting for the voting at the site. This would have to be the December meeting.  

  • New positions start January 1, 2024.  

  • If we hold a special in person meeting, we need to pick a meeting time and date tonight.  

  • Voting could happen online November 22nd – 29th. Then announce on the 30th. Training to start Dec 1st and job to be transferred Jan 1st.  

  • Open Questions and Answers -- What's going well, what’s not?  

 

 

REMINDERS: 

  • Gleaners need to sign up at least once for a cleanup shift 

  • You are allowed to volunteer more than 8 hours per month. Adoptees need to wait 24 hours after posting the volunteer sign up to sign up to allow for gleaners to get hours in first.
