Volunteer Opportunities Oct 31 - November 6

We need a driver for Target on Tuesday. Person must be able to drive a 1-ton flatbed truck and be able to back it up a ramp.
Please get ahold of Patty if you can help. 8:00am or 8:30am start time.
Members need to text or call Patty on Saturdays and Alicia on Mondays 2 hours prior if you need miss a shop time. If you skip and do not contact us - you MUST sign up for a cleanup shift the following week. If you do not contact Patty on a Saturday and skip shopping without connecting, you may NOT sign up to shop on Monday.

Changes effective 11/1
Hello,
We wanted to give folks updates of changes.
1. We will be opening up the check in volunteer opportunities for Mondays. There are 2 slots you can sign up for. You also shop when you volunteer. Typically you shop prior to volunteering and I will automatically sign you up on the shop list.
The question has come up for Mondays and doing check out. This day is different than Saturday as I (Alicia) have to leave the site and am not always able to be at the site the entire day. The folks who are doing checkout currently must hold a serve safe certificate and must be aware of the policy and procedures and follow directions. These jobs can be available, but if someone is interested, you MUST pass the test and quiz. Contact Alicia if this is of interest. Often the 2nd shift of check out folks also help cleanup at the site.
We will be limiting the number of times you can do each job (including Saturdays) We will limit everyone to 2 shifts for each volunteer job per month and only 1 shift per day.

2022 Benton County Thanksgiving Gift Cards
This is not a Philomath Gleaners program, but we are affiliated with LBFS and this is a program run by LBFS. Previous to Covid19, they would have food boxes that you picked up at the fairgrounds. Post covid, they have moved to gift cards for families. If you need help with the sign up, please message Alicia or Patty and we can help.

Gleaner Nominations for the 2023 board members
We are taking nominations this year via Google Forms. If you would rather call or text your nomination in, feel free to text Patty or Alicia.
Nominations - we are required to have nominations open for 1 month per LBFS rules. We will close the nominations at Noon on November 22nd.
The positions of Coordinator, Co-Coordinator, Secretary, & Treasurer are open.
We will then have a week to confirm if nominees would like to be considered and go from there with online voting. 1 nomination per household.

Grant information:
Current Grants:
Siletz grant 22-03 – Grant Completely spent. Ann Morgan to do the final report
We had another donor write us a check for $500 and we are going to track these funds although there were no restrictions on the funds.
Chambers Grant – Complete – Thanks to all who sent photo’s of your canning, freezing, etc.
Roundhouse – requesting food and hygiene items. Grant submitted and awarded. This award starts 11/1/22.
Grants Pending responses:
Weyerhaeuser – We submitted for a forklift to make Target easier.
Grants Working on:
Walmart Community Grant – PCS redid a grant for May so we will try to do in August.
Bi-Mart Community Grant – Still working on this one

Old Business
Funds from the Benton County Fair paid for the last LBFS statement. This is awesome as we have a gap and don’t have grant funds to pay for groceries, so having what we do in fundraising has been so helpful!
New Business
Do we want to hold distribution on Saturday the 24th and Saturday the 31st. of December? We will have pickups for the days.
January 2nd will also be distribution. Stores should still be open.
Holiday gift cards – Benton County--Patty
We require 7 hours for Volunteer time.
2023 Officers – Nominations, Voting, etc. See Policy and Procedures for full rules.
Decide if we have votes online or do we do this in person only?
Alicia suggests we do this online and we do a google form where she can share the results in a photo graph. This allows for all members to participate who meet the qualifications to vote per the Policy and Procedures. Since we don’t' have a monthly membership meeting in November, we can pick a day (must be open for 30 days per LBFS rules). If we open nominations tomorrow, October 21st, we could close the nominations on Nov 21st. (D1st). Alicia will then ask nominees if they are up for the task of being on the board and Alicia can then set up the vote online. Voting can remain open for 1 week. We could hold voting Nov 22 – 29th and then publish the votes on the 30th so any new members can start training Dec 1st. Results can be posted to the blog for members to know who the 2023 Board members will be.
