Volunteer Coordinator / Shopping Schedule - New Position created

Hello Members, 


Since Covid, we set up all communications, sign ups for shopping etc online and it has worked. I know our members don't want to go back to waiting in the lobby for hours and neither do I. I have decided it is time for me to give up a piece of what I do as the Secretary and we created a Volunteer Coordinator / Shopping Scheduler. I can't keep doing all the duties I am doing in gleaners and my personal life/job, etc and maintain my sanity. 


We would propose that the individual would possibly get a separate email with a PCS email address. Would discuss this in next steps when we have a helper.

Interested volunteers should inquire with Patty. We may meet as an advisory board to discuss possible interested volunteers. We also may possibly put a vote out if multiple people interested.

I would estimate this job would take 2-4 hours on the average a week. Likely more in the beginning and then it all depends upon what is going on, if there are additions, changes, etc to what is going on.  


Below are a list of the duties / needs of the job. 


Volunteer Coordinator / Shopping Scheduler

  • Must be tech savvy person willing to learn new things 
  • Be willing to use personal cell phone for gleaner purposes 
  • Have own computer to work on from home 
  • Have flexibility to do sign ups at various times of the day 
  • Must be willing to sign a confidentiality page 
  • Once lists are set up, be able to post to the blog and email out to the group list/post to whatsapp, etc. 
  • Help to manage/understand spreadsheets and signup. 
  • Post / audit drawings: be able to setup and use google forms for drawings, export to a google file / sort / Organize / create PDF (Currently have help for this but one needs to know how to do it) 
  • Audit the sign up and create a PDF on Saturday and Monday mornings for the program.  
  • Daily audit of who has signed up for the volunteer slots 
  • Work closely with the Coordinator / Co-Coordinator in monitoring the volunteering. 
  • Keep up and adhere to the Policy and Procedures 
  • Attend Advisory and Membership meetings 
  • Message individuals who need to be deleted/changed 
  • Email / What’s app / etc out last minute needs for help 
  • Set up all the sign up genius (would be the back up for the time being as we have a committed volunteer who does the weekly volunteer setup and shopping days sign up). 
  • Setup all other volunteer's opportunities on the sign up genius as needed and approved by the coordinator (Target, last minute requests, etc)
