Meeting minutes from our February Meeting. Please review and VOTE for approval on the form below. March meeting will be held on Thursday the 11th of march. If I missed anyone on the attendance list, please let me know. 



Philomath Community Gleaners Monthly Meeting 

February 11, 2021 @ 6:30pm via ZOOM 


Attendees were: Alicia Warren, Patty Nobles, Jessica Onstott, Tim Worl, Melissa S. 395?, Michele Holdorff, Dana Hamilton, Kate Sundstorm, Jean Goul, Valerie S., Jen Love, Lee D., Kalea Stumbo, Robert Biscoe 

 

 Welcome  

  • PCS Updates - Jean Goul would like to introduce our new ED, Kate S. She is a  get her done kina girl. Kate has a PCS cellphone. Kate’s Number is 541-609-9025. She is in the PCS office most days. The cooler will be connected February 15th or 16th. PCS does plan to get a cover for it as well. Kate was introduced to the gleaners. Kate is our new go to person. NW mechanical will be there as well. Kate appreciated Patty and the crew for taking care of the boxes on the top of the cooler.  


  • January Meeting Minutes were posted Feb 9th. Need approval. - Patty moved, and Dana 2nd the motion. Motion passed 


  • Treasurer report for Jan-Ann reported Photo attached. We got a Siletz grant and we got approval for 5 dehydrators. Alicia moved to approve, Michele H 2nd. Motion passed. 


  • Fundraising Report & Monday Report Closers – Elaine 


  • Wood Coordinator Report – Tim. We have someone who has volunteered to come in and help doing the day to day. Not we are waiting for people to donate wood, etc. We will put out blurbs for volunteers needed, etc. This person will assist in the wood glean coordination. Patty would like to add that we had a meeting with Kate and that we would like to get this program back up and running. Kate is willing to help us coordinate with other groups to get help to do the wood. Thank you Kate 


  • Monthly service report for January 2021 - Alicia read the following:

Old Business- 

  • Cooler Update – Electrician coming next week. 

  • Tents Update – Alicia / Kate updated. Discussion went to pig bins and we need to make sure that the bags can be lifted by the average person not a 200# bag of pig food. We need to make sure we watch the weight of the bags so they can be lifted.  

  • Chain Saw 

  • Food Dehydrators for members to checkout and use-Grant approved - Ann 

 

 New Business 

  • Target updatesJessica we had about 5000 pounds of goods came in today.  


  • Gleaners need to sign up at least once for a cleanup shift – Jessica. The whole point of the volunteerism is so you are invested in our program. Volunteering is being invested and taking part of the program. You get good food and a community to support you. Kate says give and give back.  


  • Dollar Dayz Idea - Melissa Shannahan. Reminder that we have to run this by PCS. Melissa shared her plans on dollar days. Sale to be monthly. First Saturday of each month. M has tables and pop up canopy. Hands on sale. Write up a list of acceptable items to keep it super simple. Do price points. What are some wants or needs that folks might want. We could even post them on the gleaners blog. Sheet that we would have. Gently used items, working electronics, etc. Possibly we could have one person help Melissa with the sale. Where is this going to be put? Patty likes this concept. Alicia moved that we move forward with tihis and take the idea to PCS. Michele H. 2nd the motion. motion passed.  


  • The Can – Costco Shelving Grant - Alicia working on it. 


  • Sign up and no shows. - Patty announced that we had 3 people sign up and not show up. When you take a spot, you took a spot away from someone who could have shopped. Open to suggestions. If you don’t call if you will miss, suggested your next time you come to get food, you sign up for a clean-up. We need folks to understand the effort that goes into this program and the volunteer time. We should take pride in this program. We work to make this an inviting environment to volunteer in. Our program is incredible. You are not stuck walking in the rain, using a porta potty. What can we do about No Shows? Kate: Does LBFS have any suggestions, Patty, no LBFS just gives us the food, etc. 

  • We just need a phone call if you can’t show up. It’s a common courtesy to show up or call so we can fill a space. Michele H was in favor, Leona is in favor. Jessica has an idea, Prepacked bags, next time they shop, sign up to get a bag only if you are an adoptee. Michele Holdorf moved to pass that if a gleaner signs up for a shop and missing it without calling then they must sign up for a cleanup crew next time. Adoptees who do not show will need to take a bag the next week instead of signing up on the list. You must call Patty’s cell phone to let her know not the main gleaner phone. Tim 2nd the motion. Motion passes.   


  • 8 Minute reminder for shopping-Just a reminder. Try not to chat – just get through the meeting. Please remember to get there 10 minutes early!  


  • Changes to distribution – meat freezer & Canned goods distribution- Jessica explained how the signs read to allocations based upon family size.  


  • Reminder on selling products- Not someone in our group, but someone was caught selling products. Reminder this is a federal offense.  


  • Masks – appropriate masks and use. We have masks if you don't’ have one. Over your nose, over your mouth. We have ample supply of PPE from Benton County.  


  • Added – New Volunteer policy sign in sheet with temps 


  • Open Questions and Answers time-What's going well, what’s not?  

  • Melissa S asked about the pig bins. Would a 5-gallon bucket be good to use. Bread will weight different than say potatoes. Just use sense and see how heavy it is. Leona says to remember that they are lifting this stuff on top of the truck and sometimes they are lifting higher than their own bodies. No cardboard boxes for the pig guys.
